Organizer Terms
These Organizer Terms are an agreement between The Unmapped Canvas Ticketing Limited ("we", "us") and the person or business ("you", "the Organizer") that creates events and sells tickets on Unmapped Canvas. They apply in addition to our Terms of Service, Payment Terms, Refund & Cancellation Policy and Privacy Policy. By registering as an organizer or publishing an event you accept them. If you accept on behalf of a business, you confirm you have authority to bind it.
1. Becoming an organizer
- You must be at least 18 and, if you act for a business, be authorised to do so. Give accurate details and keep them up to date.
- We may verify and approve organizer accounts and events before they go live, and may ask for identity, business or tax documents. We may decline or remove an organizer or event at our discretion where required for safety, legal or fraud-prevention reasons.
- You are responsible for everything done through your account and for any team members or agencies you give access to.
2. Your events
- You run the event. You are responsible for the event, the venue, its safety and security, and for delivering what you advertised. We are only the ticketing platform.
- Accurate listings. Titles, dates, times, venue, prices, what the ticket includes, age limits and refund policy must be accurate and kept current. You must tell ticket holders promptly of any change.
- Lawful events only. You must hold every licence, permit and permission the event needs (for example county and venue permissions, music licences, and any approvals for crowd, safety, alcohol or age-restricted activity), and comply with all applicable law, including tax. Events that are unlawful, fraudulent, hateful or unsafe are prohibited.
- Your content. You must have the rights to the text, images and other content you upload and must not infringe anyone's rights. You give us a non-exclusive licence to display it on the Platform and to promote your event.
3. Tickets, prices and seating
- You set ticket types, prices, quantities, early-bird periods, seating layouts and limits. Do not sell more tickets or seats than you can honour.
- An event is charged in a single currency. Prices you set are what attendees pay for the ticket; applicable tax is added at checkout and shown to the attendee.
- You may issue complimentary tickets from your dashboard. You are responsible for their use.
- You choose the check-in rules for your event (for example one entry per ticket, or re-entry) and whether tickets may be resold on the Platform, and at what limit.
4. Fees and taxes
We charge a commission on ticket sales, and on resale where applicable, shown in your dashboard and on each booking. Commission and any tax we collect are deducted before your balance is credited. We may change our commission for future sales on notice shown in your dashboard or by email. Each booking shows how the amount paid is split between the ticket price, tax, our commission and what you receive.
You are responsible for your own tax obligations arising from your income from ticket sales, including registration, returns and payment to the relevant authorities.
5. Getting paid
- When an attendee pays, we collect the money on your behalf. Once the payment is confirmed (for bank-transfer payments, once it has been approved) the net amount is credited to your organizer balance.
- You can request a withdrawal of your available balance using the payout methods offered in your dashboard. Each method shows its own requirements and timing. Payouts go only to an account or number in your name or your business's name.
- We may delay, hold or reduce a payout, or set it off against amounts you owe us, where reasonably needed to cover refunds, chargebacks, fraud, disputes, or sums owed under these terms - for example before an event has taken place. We will tell you why.
- Bank-transfer bookings. You must only mark a bank-transfer booking as completed after you have confirmed the money has actually arrived. Approving a booking issues the ticket and credits your balance; do not approve unpaid or unverified bookings.
6. Cancellations and refunds
- You must set a clear cancellation policy for each event. You must honour it, and the law, in how you handle refunds.
- If you cancel an event, attendees are entitled to a full refund of what they paid, including tax. You are responsible for funding those refunds. We may refund attendees from your balance or future earnings, or ask you to pay us the amount, and may hold payouts until refunds are settled.
- If you reschedule or materially change an event, you must tell attendees promptly and honour the refund rules in our Refund & Cancellation Policy.
7. Attendee data
- We give you the personal data of people who book your events (such as name, contact details, ticket and registration answers) so you can run the event. For that data you are responsible as a data controller under the Data Protection Act, 2019.
- Use it only to run and communicate about the event you were given it for. Do not sell it, and do not add attendees to marketing lists unless they have separately agreed. Keep it secure, limit access to those who need it, and delete it when you no longer need it.
- Honour attendees' requests about their data and tell us promptly of any breach involving data from the Platform.
- If you use the sponsor or exhibitor lead-capture tools, you may share an attendee's details with a sponsor only where the attendee has given explicit consent at the time.
8. Check-in, staff and agencies
Gate staff and agents you appoint act for you. You must make sure they only use scanning and attendee information to admit people to your event and that they follow these terms. Access you give an agency to manage your events is your responsibility.
9. Things you must not do
- Sell tickets you cannot deliver, create events that do not exist, or advertise misleadingly.
- Take payment for your events outside the Platform to avoid commission where the attendee bought through the Platform.
- Manipulate sales or reviews, use another person's identity or payout account, or attempt to bypass security or ticket validation.
10. Liability
You are responsible to attendees and to us for your events and for your breach of these terms. You agree to compensate us for losses, claims and costs (including reasonable legal costs) that we incur because of your event, your content, your breach of these terms or the law, or a claim by an attendee about your event. Our liability to you is limited as set out in the Terms of Service, and we are not liable for loss of profit or indirect loss, except where the law does not allow that exclusion.
11. Suspension and ending
You can stop using the Platform at any time after your events have taken place and any refunds are settled. We may suspend or remove an event or account, and hold payouts, where we reasonably suspect fraud, abuse or breach, or where the law requires. On ending, we will pay out your available balance after deducting any amounts owed and a reasonable holdback for outstanding refund and chargeback risk.
12. Changes and governing law
We may update these terms; the date above shows the latest version and we will tell you of significant changes. They are governed by the laws of Kenya, and the courts of Kenya have jurisdiction.
